Microsoft Copilot Frequently Asked Questions
30 Questions๐ Getting Started with Copilot
Microsoft Copilot is SCO's enterprise AI assistant integrated directly into Microsoft 365 applications and
web search. It helps court staff draft documents in Word, analyze data in Excel, summarize meeting
transcripts in Teams, and perform web research with enterprise-grade Commercial Data Protection.
You can access Copilot in three ways:
- Web Chat: Visit copilot.microsoft.com or bing.com/chat and sign in with your official SCO credentials.
- Microsoft Edge Sidebar: Click the Copilot icon in the upper-right corner of the Edge browser.
- M365 Desktop & Web Apps: Open Word, Excel, PowerPoint, Teams, or Outlook and click the Copilot button on the Home ribbon.
To activate your Copilot license:
- Complete both modules of the Microsoft Copilot Training Track and pass the knowledge check with an 80%+ score.
- Acknowledge and sign the SCO AI Governance Policy.
Free consumer Copilot accounts may retain chat history and use data for public model training. SCO's
enterprise license provides Commercial Data Protection (indicated by a green shield icon)
where prompts and data are never saved, never viewed by Microsoft personnel, and never used to train AI
models.
๐ป Copilot in Microsoft 365 Apps
In Word, Copilot can draft legal briefs, memos, executive summaries, and letters based on your prompts or
referenced files. You can also ask it to rewrite sections in a more professional tone, summarize long
documents, and generate tables directly within the document canvas.
Copilot in Excel works with formatted tables to generate complex formulas (like XLOOKUP and SUMIFS),
highlight key trends, perform statistical analysis, and generate interactive charts and PivotTables using
plain language commands.
During or after a Teams meeting with transcription enabled, you can ask Copilot:
- "What were the key takeaways and decisions made so far?"
- "List all action items and who they were assigned to."
- "What questions remain unresolved from this discussion?"
Yes. Copilot in Outlook can summarize lengthy email threads, extract key dates and commitments, draft
professional email responses, and adjust tone (e.g., concise, formal, or casual) before sending.
๐ Privacy, Security & Court Data
Yes. Under SCO's Microsoft 365 enterprise tenant agreement, Commercial Data Protection is strictly
enforced. Your queries and internal court documents remain within SCO's Microsoft 365 compliance boundary
and are never used to train public foundation models.
No. In accordance with the SCO AI Governance Policy, sealed records, juvenile
identifiers, confidential criminal histories, and attorney-client privileged materials must never be
inputted into generative AI tools without explicit written authorization from SCO IT and Legal Counsel.
Look for the green "Protected" badge with a shield icon in the upper-right corner of the
Copilot web chat window. This confirms your enterprise tenant identity is recognized and data protection
is active.
๐ Web Grounding & Citations
Web Grounding connects Copilot to live search data from Bing to provide real-time facts, current news, and
cited web links. Unlike standard models with fixed training cutoffs, web-grounded responses include
clickable source links for fact-checking.
Always. Generative AI models can occasionally hallucinate court citations or statutory
references. You are personally responsible for verifying every citation against official sources such as
the Supreme Court of Ohio case portal, Lexis+ AI, or Westlaw before submitting any work product.
โก Prompt Engineering & Best Practices
Follow the 4-part framework:
- Goal: Specify what you want Copilot to create or analyze.
- Context: Provide background details, department perspective, or reference files.
- Source: Point to specific documents or data points to focus on.
- Expectations: Specify format, length, style, and bulleted structure.
For technical support, account provisioning, or license requests, contact the Supreme Court of
Ohio IT Helpdesk. For questions on permissible use cases and compliance, consult the SCO AI
Governance Policy or your department supervisor.
